FINANCIAL SERVICES

Our Company is very strong in the area of financial services. Our Company will set in place a full financial system including controls, purchasing, banking, trust accounts, financial statements and forward cash flow planning:

  1. accounts payable for strata corporation invoices;
  2. accounts receivable, including direct debit;
  3. strata corporation strata fee collection and fines administration;
  4. monthly reporting;
  5. monthly bank reconciliation;
  6. production of monthly financial statements;
  7. preparation of an annual budget based on previous years operation;
  8. cost analysis and recommendation;
  9. five year plan including:
    1. repairs
    2. maintenance
    3. upgrading
    4. contingency reserve including accumulating contingency reserve funds consistent with the Strata Property Act.
  10. Facilitech will recommend whether or not the contingency reserve is sufficient or whether it should be increased; and
  11. maintenance and management of trust funds - separate trust accounts are maintained for each strata corporation.

FEES

We offer our management fees based on the type and size of building and level of services required either on a per suite or flat fee per month basis. Once we have evaluated your building we will be happy to provide you with a proposal to manage your Building.

It will, of course, be our objective to reduce your expenses where possible while providing a high level of service and security for your owners.

This will be accomplished using the economies of scale, which we have within our other downtown properties and our connections with trades purchasing for volume discounts..

This ability stems from the fact that our business evolved from the hotel and resort management industry, which is highly service oriented.


ADDITIONAL COSTS

While we fundamentally do not believe in additional costs and will avoid them wherever possible, the cost of our fees do not include the normal disbursements which are charged on a cost only basis to our clients.

Following is a list of those normal expenses and we would provide an outline of these items in each yearly budget.

These costs are considered to be the cost of operations and are billed to the Strata Corporation as required:

The cost of postage, photocopying, faxing, long distance phone calls, Land Title Office registration and search fees;

Additional meetings, over and above those provided for in our management contract, would generally be billed at a nominal cost to help cover administrative expenses

The cost of managing on going maintenance projects would be covered under our management agreement, however, major replacement projects are not. Major replacement projects would be reviewed by the Council and the Property Manager and a decision would be made on how the project should be managed. In most cases we recommend that the Strata Corporation hire an engineering company or project manager with expertise in that area to manage the project on its behalf. We would then liase with the Project Manager and focus on what you hired us to do, manage your Building.


ADMINISTRATIVE SERVICES

We have a full complement of administrative personnel in our offices who are available during business hours to answer any questions, provide required documentation to facilitate the sale of your condominium, follow up on outstanding maintenance fees and numerous other duties related to the professional management of a strata corporation. Accurate records and attention to detail are critical to our sound business management, and above all, we pride ourselves on a “can do” attitude, which is unique among property managers.

MEETINGS

Annual General Meetings: Facilitech will prepare the notice to owners, as required under the Strata Property Act. Our Property Manager as well and support staff would be present at such meetings. Facilitech will include one annual general meeting per year in their management contract as part of the fees quoted in this submission.
Strata Council Meetings: Facilitech will always have at least one representative present at all strata council meetings. We will develop an agenda, take minutes at those meetings and provide minutes to council and owners (if desired by council) following such meetings.


MAINTENANCE

Maintaining your property and protecting your asset is paramount in everything that we do. We pride ourselves on anticipating problems before they happen.

We are great believers in life cycle costing where we review repair versus replacement to ensure that our clients get the best long-term value.

Mechanical equipment in your building is examined where we look at life expectancy and predict the useful life remaining. Heating, hot water systems, elevators and fire safety devices are all inspected. Records are kept of maintenance performed.

We would be responsible for tendering contracts for landscaping, garbage removal, insurance, window cleaning and all other maintenance services as required.

We would make regular inspections of the grounds and buildings to ensure all contract work is being completed satisfactorily. In addition, we would advise on extraordinary repairs, maintenance, and improvements.

We select contractors for your building with great care. They have been selected for their ability to provide the best possible service at a competitive price and we ensure that they carry the necessary insurance and WCB coverage.

On all major repairs and renovations, written estimates are obtained and discussed with the Strata Council before proceeding.

We have the necessary expertise available to oversee repairs and improvements such as new roof or water ingress problems. We follow up on work undertaken to ensure the work has been properly completed.

Timely Minutes Delivery: We will deliver all meeting minutes to you within prescribed time period as agreed in the contract.
